Data Flow & Logic
This attribute is updated base on the information retrieved from the Student Record System (SR2) and Payroll & Personnel System (PPS) via the Campus Data Warehouse (CDW) on daily basis. In addition, the Enterprise Directory retrieves data directly from QDB and UCLA Extension Student System (UNEX) and update this attribute accordingly on daily basis as well. The logic is as follows:
- BOL: A person will have 'BOL' value in uclaEmailEligibility if he/she satisfies any of the following logic.
- Logic 1: The Registrar's Office asserts BOL email eligibility for the person from student perspective by including his/her UID in the file ed_stu_aff.dat (formerly Focus Job SR0#V618 Report), which is generated by data in SR2 and transferred from RO to ITS on a daily basis. To the best knowledge of ITS, the file includes:
- a. all students enrolled in the current term (grad and undergrad). Current term is the term until the next subsequent term starts based on quarter dates.
- b. all students enrolled in the previous full term (grad and undergrad).
- c. all students enrolled in the next full term (grad and undergrad).
- Logic 2: The Payroll System (PPS) defines the person as current UCLA employee by stating EMP_STATUS = ('A', 'I', 'N', 'P') in table PP0PER AND LOCATION = '4' in table FF0DDP.
- Logic 3: The UCLA Extension System (UNEX) claims the person as UNEX students concurrently enrolled in UCLA campus courses by including his/her UID in file ucla-edimi-dir-file-transmission-uclaunexconcurrents.txt, which is transferred from UNEX to AIS on a daily basis. To the best knowledge of AIS, the file includes UNEX students who has Petition_Status = 'Approved' or 'Pending' for the concurrent UCLA quarter only.
- Logic 4: The ASUCLA Payroll System claims the person as current ASUCLA employee by including his/her ASUCLA ID in file EDFILE.txt with status of 'A' or 'L' sent to AIS on a daily basis.
- BOLPersistent: A person will have 'BOLPersistent' value in uclaEmailEligibility if he/she satisfies any of the follwoing logic:
- Logic 1: The Registrar's Office claims that the person has earned a UCLA degree. In SR2, all UIDs existing in SR0PST with DEG_AWD_TERM_CD <> '' qualify.
- Logic 2: The Payroll Office claims that the person has retireed from UCLA. In PP QDB, the following individuals qualify:
- a. all UIDs existing in tbl_emp_add_h with separate_reason IN ('RA', 'RB', 'RC', 'RD', 'RF') and location_code = '4' for home_dept_code
- b. all UIDs existing in tbl_emp_add_h with separate_reason IN ('RA', 'RB', 'RC', 'RD', 'RF') and location_code = '4' for at least one of the appointments in tbl_emp_dist_h
- c. all UIDs having emeritus title.
- d. all UIDs mannually verified as retirees by UCLA HR via BOL Helpdesk.
- LAWPersistent: A person will have 'LAWPersistent' value in uclaEmailEligibility if the Registrar's Office claims that the person has earned a Law degree at UCLA. In SR2, all UIDs existing in SR0PST with DEG_AWD_TERM <> '' AND COLL_CD = 'LW' qualify.
- MGMTPersistent: A person will have 'MGMTPersistent' value in uclaEmailEligibility if the Registrar's Office claims the person has earned a Management degree at UCLA. In SR2, all UIDs exisiting in SR0PST with DEG_AWD_TERM_CD <> '' AND COLL_CD = 'GD' AND MAJOR_CD in ('0534', '0535', '0602', '0364', '036S') qualify.
